Who is responsible for this information

St. Martin de Porres Catholic Church decides what information is collected about your child and what happens to it. If you want to see it, correct it, or ask for it to be deleted, the parish is who you ask.

J&A Infante Solution Inc built this system and keeps it running as the parish's information technology provider. It handles the data only to operate the system on the parish's instructions. It does not own the information, does not use it for its own purposes, and does not share it with anyone.

What is collected, and why

About your child

Name, student number, catechism level, classroom, and the dates and times they arrived and left. These come from the parish's attendance system and are needed to run a class, prepare for the sacraments, and know who is in the building.

About you

Your name, your relationship to your child, your email address, and your mobile number. The mobile number is verified with a code so the parish knows it can reach a real adult connected to that child.

Emergency information

The contacts you list, the adults you authorise to collect your child, and any allergy or safety note you choose to add. The parish asks only for what a catechist would need in an emergency. It does not ask for and should not be given a full medical history.

Your permissions

Which consents you gave or refused, for which child, on what date, under which version of the wording, and the signature you provided. This is kept because the parish has to be able to show what you actually agreed to.

Face recognition

Face recognition for attendance is optional. Refusing it changes nothing about your child's place in catechism; they are marked present by hand instead.

Where a family agrees, the attendance device turns a photograph into a mathematical template — numbers that cannot be turned back into a picture. That template stays on the parish's own attendance devices and its server. It is never uploaded to a cloud service, never displayed, never exported, and never given to anyone outside the parish.

If you withdraw this permission, your child is switched to manual attendance the same day. The template is removed from the devices within the period set in the parish data protection policy, and the removal is recorded in a log showing what was deleted, when, and by whom.

Photographs

Where a family agrees, one photograph of the child is kept in their catechism record, used only so staff can identify the right child and match them to the right family at collection.

These photographs are never published. Not on any website, not on social media, not in a bulletin, not in advertising, and not in fundraising. This notice does not grant permission to publish any image of your child, and no such permission is being requested here.

Who can see this information

  • You see only your own children. Never another family's child, in any list, roster, photograph or search result.
  • A catechist sees only the children in their own group.
  • The coordinator and supervisors see the whole programme.
  • Named technical staff at J&A Infante Solution Inc have administrative access in order to keep the system running. That access is individual, logged, and used only for support.

Outside services

The parish does not sell, rent or trade this information, and it is not used for marketing or research. A small number of outside services are needed to operate the system, and honesty requires naming them rather than claiming nothing ever leaves the building:

  • Zoom Video Communications, Inc. — delivers text messages. Your mobile number and the text of the message pass through this service. Nothing about your child's attendance, records, photograph or biometric template is given to it.
  • Vultr Holdings LLC — provides the server the system runs on. The data is stored encrypted on equipment controlled for the parish.

If the parish adds another service, this page is updated before it is used.

How it is protected

  • Encrypted in transit and while stored.
  • Individual named accounts. Shared logins are not permitted.
  • Authorisation checked on every request, at the level of the database query, not only in the menus.
  • Biometric templates held separately from ordinary records, never displayed and never downloadable.
  • Encrypted backups, and access limited to authorised personnel.

How long it is kept

Attendance records are kept for the years needed for sacramental purposes. Biometric templates are deleted when a child leaves the programme or consent is withdrawn. Consent records are kept for as long as the corresponding data is held. The exact periods are set in the parish's data protection policy.

What you can ask for

  • To see everything held about your child.
  • To have anything inaccurate corrected.
  • To withdraw any optional permission, at any time, without giving a reason and with no consequence to your child.
  • To receive a copy of the consent you signed.
  • To ask for information to be deleted where the parish is not required to keep it.

Optional permissions can be withdrawn yourself, from Consents and Privacy inside the portal. For anything else, contact the catechism office.

Messages

You choose whether the parish contacts you by text message. You can change that choice at any time in the portal, or reply STOP to any message. Messages you have not received elsewhere are always visible inside the portal.

Children

This portal is for parents and guardians. It is not intended for use by children, and children do not have accounts.
